Start with the machine and the component
Record the equipment brand, complete model and machine serial number. Photograph the machine plate and write its characters in your message. Then record the brand and every line on the old component label. A machine brand and a component manufacturer may be different.
Use safely accessible labels. Ask a qualified person to obtain information that requires access to hazardous areas; do not run or dismantle the machine just to prepare an inquiry.
Separate the numbers you find
Keep the catalogue part number, assembly label, casting mark and drawing callout in separate fields. A number moulded into a housing may describe the housing, not the complete assembly you need. If a label is damaged, send the original photograph and mark uncertain characters rather than filling them in.
When you have a parts-book page, include its title or revision, applicable model/serial range, illustration and item number. Ask the parts specialist to confirm which orderable assembly or repair kit the entry represents. Prepare one request line
Include: machine identity; component position; number exactly as found; where the number came from; quantity; and the labelled photo filenames. State whether you need a complete assembly, a subcomponent or a repair kit.
